How to Prepare Your Freight for Pickup: A Step-by-Step Guide

Most freight problems are not caused on the road. They are caused before the truck ever leaves the dock — a wobbly pallet, a missing document, an unclear pickup window. The good news is that a few minutes of preparation prevents the vast majority of them.

This guide is a practical, step-by-step checklist for getting freight ready for pickup so loading is fast, your product arrives intact, and your paperwork is clean from the start.

1. Package and palletize for the journey, not the shelf

Freight takes more vibration and movement than most people expect. Build on sturdy pallets, keep your load stable and squared off, and avoid overhang past the edges of the pallet, which invites damage.

Shrink-wrap the load firmly so cartons cannot shift, and consider strapping or corner boards for heavier or taller stacks. The goal is simple: the pallet should arrive looking the way it left.

2. Label clearly and completely

Every pallet and carton should be labeled so there is no guesswork at any point in transit. Clear labeling speeds up loading, reduces the chance of a misroute, and makes delivery verification painless.

Include destination details and any handling instructions prominently. If a shipment has special requirements — fragile contents, stacking limits — say so visibly on the freight itself.

3. Have your paperwork ready before the driver arrives

The bill of lading (BOL) is the key document for any shipment and should be prepared and ready to sign when the driver shows up. A packing list that itemizes contents makes verification simple at both ends.

Having documents ready is one of the easiest ways to keep a pickup fast. A driver who can load, get a signed BOL, and roll is a driver who keeps your freight on schedule.

4. Confirm the pickup details

Double-check the pickup address, the hours your dock is open, which door or gate to use, and the name and number of a contact on site. Small mismatches here are a surprisingly common cause of missed or delayed pickups.

If your facility requires appointments or has a check-in process, communicate it in advance so the driver arrives prepared rather than waiting at the gate.

5. Communicate weight, dimensions, and special needs up front

Accurate weight, dimensions, and pallet counts let your carrier send the right equipment and quote accurately. Guessing here leads to reweighs, re-classes, and billing surprises.

Flag anything unusual early — oversized pieces, heavy concentrated weight, or handling limits. The more your carrier knows before dispatch, the smoother the pickup goes.

Freight preparation is not glamorous, but it is where smooth shipments are won. Package for the road, label clearly, have your paperwork ready, confirm the details, and share accurate specs — and most problems never get the chance to start.
